In today’s digital workplace, strong password practices are more than an IT issue; they’re a shared responsibility that protects employee data, business operations, and company reputation. HR professionals play a key role in reminding teams that cybersecurity starts with small, everyday actions.

Here are a few simple, effective reminders to include in employee onboarding, training refreshers, or team meetings:

  1. ** Use Strong, Unique Passwords** Avoid common passwords (like “123456” or “Password!”) and don’t reuse the same password across multiple sites. A good password should be long, include a mix of upper/lowercase letters, numbers, and symbols.
  2. ** Don’t Share Passwords** Even with trusted coworkers. Sharing credentials, even informally, can lead to serious breaches if accounts are compromised. If shared access is needed, request the proper system permissions instead.
  3. ** Watch for Phishing** Be cautious of emails or texts that ask you to reset your password, provide login credentials, or click suspicious links. When in doubt, report it or check with IT.
  4. ** Enable Multi-Factor Authentication (MFA)** If available, MFA adds a second layer of protection, such as a code sent to a phone, making it harder for attackers to gain access, even if they know your password.
  5. ** Use a Password Manager** Encourage employees to use a secure password manager to keep track of their credentials. It eliminates the need to memorize complex passwords and helps prevent password reuse.
