Position Summary
Do you have experience working with electronic data files, benefits eligibility files, payroll files, or insurance carrier file exchanges? Are you comfortable reviewing files for accuracy, troubleshooting file issues, encrypting files, transferring files through secure FTP sites, and working with clients to implement new file exchanges? If so, we'd like to hear from you.
Benefit Allocation Systems, LLC ("BAS") is actively searching for a file processing specialist to join our EDI and File Integration Team. In this role, you will help ensure the accurate and timely exchange of enrollment, eligibility, payroll, and billing data between BAS, insurance carriers, payroll vendors, and our clients.
Experience working with ANSI 834 eligibility files, secure file transfers, or similar electronic data exchange processes is highly desirable.
This position supports daily production file processing for employee benefits administration and requires strong attention to detail, organization, and the ability to meet daily processing deadlines. It is a hybrid position which may have periodic in-office presence at our King of Prussia office as business needs require.
Daily Responsibilities
- Process inbound and outbound eligibility, enrollment, payroll, and billing files.
- Review files for completeness and accuracy before transmission.
- Encrypt files using PGP when required.
- Upload and retrieve files using secure FTP (SFTP).
- Review file processing reports and resolve file exceptions and errors.
- Monitor daily file exchanges to ensure timely delivery.
- Work with internal teams and clients to resolve file processing issues.
- Build and test new eligibility and payroll files based on client specifications.
- Coordinate implementation testing with clients, carriers, and payroll vendors.
- Document file layouts and implementation results.
- Review file contents and reconciliation reports to identify and correct issues before files are transmitted.
- Maintain accurate, timely, and secure daily file processing while meeting established production deadlines.
Implementation Projects
You will also help implement new file exchanges by:
- Reviewing client file specifications.
- Building outbound and inbound file layouts.
- Coordinating testing with clients and vendors.
- Troubleshooting issues during implementation.
- Moving successful implementations into production.
Qualifications
- 2+ years of experience in EDI, benefits administration, payroll integration, healthcare administration, insurance operations, or a related field.
- Experience processing electronic data files.
- Experience with SFTP.
- Experience with PGP encryption, or willingness to learn.
- Experience working with CSV, fixed-width, XML, or ANSI 834 files.
- Excellent organizational and time management abilities.
- Strong attention to detail and commitment to accuracy.
- Proficiency with Microsoft Excel, including sorting, filtering, formulas, and reviewing data for accuracy.
- Ability to manage multiple priorities in a fast-paced environment.
- Strong written and verbal communication skills.
Preferred Qualifications
- Experience with data mapping, file testing, reconciliation, and troubleshooting.
- Knowledge of employee benefits administration, eligibility management, COBRA, or insurance enrollment processes.

Benefit Allocation Systems, LLC ("BAS") is looking for an Implementation Project Manager to oversee planning for implementation of new account business. In this role, you'll play a key part in ensuring smooth project execution, timely progress, and effective team collaboration. This role will help establish and standardize BAS' implementation project management processes as the Company continues to grow.
This position is hybrid will require some in-office work at our King of Prussia location. Standard work hours are Monday – Friday, 8:30 am to 5:00 pm.
Main Duties and Responsibilities:
The Project Manager will coordinate enterprise implementation projects involving multiple internal departments, clients, carriers, payroll vendors, brokers, and third-party partners.
Key Responsibilities
Project Planning and Coordination
- Lead the planning and coordination of new client implementations, ensuring projects are organized, documented, and executed according to established timelines.
- Develop comprehensive implementation project plans, including milestones, task assignments, dependencies, critical path items, and go-live schedules.
- Coordinate implementation activities across all BAS departments, including Account Management, Client Services, Enrollment, EDI, Programming, Billing, COBRA, Compliance, Finance, and Technology.
- Understand the full scope of each implementation to identify risks, prioritize activities, and proactively address potential issues.
- Provide executive leadership with implementation dashboards, project status updates, implementation metrics, and recommendations regarding project priorities and resource allocation.
- Develop, maintain, and improve standardized implementation templates, project plans, checklists, and procedures to create a consistent implementation methodology across BAS.
Task and Timeline Management
- Develop, assign, monitor, and track implementation tasks using project management software and other tracking tools.
- Conduct regular project status meetings to review progress, identify roadblocks, assign action items, and ensure accountability.
- Monitor project milestones and implementation timelines, escalating issues and recommending solutions when delays or risks arise.
- Maintain accurate project documentation, implementation schedules, meeting notes, action items, and status reports.
Implementation Management
- Coordinate all phases of new client implementations, including discovery, data collection, system configuration, file integrations, testing, training, open enrollment preparation, and go-live activities.
- Work closely with internal departments, clients, brokers, carriers, payroll vendors, and other third parties to ensure implementation activities remain on schedule.
- Ensure implementation deliverables, approvals, and testing are completed before production deployment.
- Conduct post-implementation reviews to identify lessons learned and opportunities for continuous improvement.
Communication and Process Improvement
- Serve as the central point of coordination for implementation projects, providing clear and consistent communication to internal teams and external stakeholders.
- Prepare regular project status updates for management, highlighting accomplishments, upcoming milestones, risks, and resource needs.
- Promote project management best practices and continuous process improvement to support efficient, scalable implementations.
Qualifications
- Bachelor's degree in Business, Information Systems, Project Management, Healthcare Administration, or a related field, or equivalent work experience.
- Three (3) or more years of experience managing projects, implementations, or operational initiatives involving multiple stakeholders.
